
About the Role
Kingsley + Co. is seeking a highly skilled and experienced Office + Business Manager / HR + Executive Assistant to join our team. This is a multifaceted leadership support role responsible for managing daily operations, HR functions, business administration, and executive support for a growing real estate development company. This person serves as a trusted partner to company leadership, ensuring organizational efficiency and enabling the CEO and executive team to focus on strategic priorities.
Job Title: Director of Administrative Services
Reports to: CEO / Managing Principal
Location: Cincinnati, Ohio

Responsibilities
Including the following but are not limited to:
Executive & Personal Assistant Duties
• Provide direct support to the CEO, including scheduling, travel, and email management
• Organize personal appointments, errands, and family logistics as needed
• Serve as a liaison between the CEO and internal/external stakeholders
• Handle confidential matters with discretion and professionalism
Office & Operations Management
• Oversee daily office operations, vendor management, and facility needs
• Maintain systems for document organization, contracts, and records
• Support meeting preparation, team scheduling, and internal events
• Implement administrative processes and improve operational workflows
Business & Financial Administration
• Track budgets, monitor project cash flow, and support financial reporting
• Coordinate invoices, payments, and reporting with accounting team
• Assist with investor, lender, and compliance documentation and communication
• Support procurement, consultant contracts, and third-party relationships
Human Resources Management
• Manage recruitment, onboarding, and offboarding of staff
• Maintain employee files, handle HR compliance, and assist with performance reviews
• Administer benefits, PTO tracking, and payroll coordination
• Promote a positive workplace culture and team engagement initiatives
Qualifications/ Requirements
Qualifications:
• Bachelor’s degree in Business, HR, or related field (or equivalent experience)
• 5+ years of experience in administrative, operational, or HR roles (real estate or startup a plus)
• Exceptional organizational, multitasking, and problem-solving abilities
• High level of discretion, emotional intelligence, and communication skills
• Proficiency in Microsoft Office, Google Workspace, QuickBooks, Gusto, and project management tools
(e.g., Asana, Monday.com)
Preferred Experience:
• Familiarity with real estate development, finance, or construction processes
• Experience supporting executive leadership and managing confidential matters
• Bilingual (Spanish/English) is a plus.
